Islamic Relief Vacancy - HR & Admin Coordinator

Islamic Relief Worldwide is an International Non-Governmental Organization (NGO) established in Birmingham, UK in 1984. Islamic Relief has a consultative status (special category) with the economic and Social Council of the United Nations is full member of British Overseas NGOs for
Development (BOND) and a signatory to the code of conduct for the International Red Cross and Red Crescent Movement and NGOs in Disaster Relief. It seeks to promote sustainable economic and social development by working with local communities through relief and development programmes.
Islamic Relief Indonesia is part of Islamic Relief Worldwide which has been working in Indonesia since 2003. Islamic Relief Indonesia provides service and support to the communities in mandate areas, based on the MoU with Department of Home Affairs. There are some initiative sectors under
Emergency and Development program such as Shelter, Water and Sanitation, Health and Nutrition, Livelihood, Orphans, Education, Marines Fisheries, and Disaster Preparedness and Response. Through these sectors, Islamic Relief Indonesia plays significant role in alleviating the suffering and poverty of the world's poorest people.

The IR programme in Indonesia was established in 2003 with one project office catering for development activities in Banten province. In 2004 IR expanded its coverage to include Aceh province targeting victims of the earthquake and the giant tsunami waves in the devastated Aceh province then in October 2009, IR expanded its coverage to include West Sumatra province
also targeting victims of the earthquake and implementation of emergency disaster relief. The main sectors for Indonesia Program are health, disaster preparedness, education, shelter, livelihood and orphans support. The geographical areas of operation are Aceh, Banten, West Jaya, NTB and West
Sumatra provinces.

Islamic Relief seeks to hire committed and experienced persons for the following positions:

HR & ADMIN COORDINATOR

Base at : Country Office - Jakarta
Contract Duration : 3 Months (extendable)
Frequent Official Travel

Key Duties and Responsibilities: To be responsible for the overall livelihood issues of Sustainable Sea Fisheries project in Singkil. Included,

KEY DUTIES AND RESPONSIBILITIES:

. Data processing (database)

. Attendance control system, prepare attendance report for Country Office and collect from other sub offices as well.

. Manpower information system, prepare headcount report for Country Office.

. Leave administration, recap and establish leave administration report and leave plan/card.

. Orientation administration.

. Employment agreement/contract.

. Maintain job description.

. Maintain filing system.

. To assist in handling expatriate working permit, visa, and recommendation book.

. Prepare monthly "laporan tenaga kerja" and submit to DisnakerTrans.

. Prepare payroll administration.

. Ensure the medical insurance.

. Preparing Jamsostek payment.

. Preparing salary historical report.

. Handling termination, completion and pension program.

. Submit regular report to government.

. Bridged and keep close relation toward government.

. Maintain training program organizing and assessment.

. Planning and job evaluation including manpower plan, recruitment,
orientation program, placement, transfer and promotion, job analysis, career
development, employee turnover analysis.

. Organization development : structure design, job design, people
productivity, employee and industrial relation, conflict management.

Experience / Education

. Relevant education background in management qualification.

. Five years minimum experience in HR/Admin areas.

. Capacity to work under pressure.

. Computer literate with fluency of using Microsoft Word, Excel, internet
and email packages.

. Experience of communicating and representation with a range of people,
organizations and cultures, Problem solving from different angles, allowing
for an integral vision of situations.

. Experience in monitoring and evaluation of project activities.

. Previous extensive experience with INGO.

Skills

. Self-starter who is able to work collaboratively across functional
areas to achieve organization and personal performance objectives.

. Demonstrated ability to conduct/oversee evaluations, reviews,
assessments, etc.

. Flexible

. Knowledge and practical understanding of and ability to work within
both relief and development NGO contexts.

. Proven record of effective management

. Ability to work in a team

. Good IT skills

. Communication skill and report writing

. Problem solving

Language:

. Fluency in English (written and spoken)

Disposition:

. Flexible & Patient

. Ability to work on your own initiative as well as a part of a team

. Sympathetic with aims & objectives of Islamic Relief

. Empathy with & understanding of the basic teachings and values of
Islam.

. Sensitive to local customs

. Ability to work in a stressful environment

. No serious illness
