SurfAid Finance Assistant - Nias

SurfAid
International is a nonprofit organization dedicated to the alleviation of human
suffering through community-based health programs. We perform our work in
isolated regions connected to us through surfing and are professional, highly
energized, innovative and youthful in our outlook. Our main program areas are
Community Based Health, Emergency Preparation, Environmental Health (Water and
Sanitation) and Malaria prevention.



We are now seeking for
Finance Assistant, to be based in Gunung
Sitoli, Nias. The Finance Assistant will report to the Finance Manager and will
work as an integral part of the program management teams. The purpose of the
role is to administer
finances including petty cash management and bank transactions and to ensure
all cash and related activities are accountable.



The
key responsibilities of the successful applicant will be responsible for:

Vouchering,
bookkeeping and finance administration; Payment
transactions; Cash counting
with Finance Officer;Input transactions
to Accounting software;Submit GL to
FO;Prepare balance
sheets, P&L report on a monthly basis;Reconciliatio n
balance sheets accounts on a monthly basis;Prepare salary
statements and send to staff;Calculate
Jamsostek premium for all staff on a monthly basis, report to Jamsostek
and anything related with it, including registering new staff;Maintain and
filling finance documents;Any other tasks
as required by the supervisor.





Requirements

The successful
applicant will hold an accountancy degree. Effective verbal and written communication,
multi-tasking, organizational, prioritization skills are necessary.
Demonstrated attention to detail, ability to follow procedures, meet deadlines
and work independently and cooperatively with team members is required. Fluency
in English and Bahasa Indonesia are important. Highly developed computers
skills with strong familiarity of word processing, spreadsheets, and database
software are mandatory. The ability to interact well with SurfAid
International staff and program beneficiaries is important, together with a
detailed understanding of community issues.

PROGRAM SUPPORT OFFICE MANAGER in SurfAid

SurfAid International is a nonprofit organization dedicated to improving the health and well-being of communities connected to us through surfing. We perform our work
in isolated regions and are professional, highly energized, innovative and
youthful in our outlook. Our main program areas are Community Based Health,
Emergency Preparation, Psycho-Social Support, Environmental Health (Water and Sanitation)and Malaria Prevention.

SurfAid International is currently developing a preferred project
management methodology and will concentrate the planning and components of project
and program support in one area – a Program Support Office (PSO). The position will be based in Medan and for an initial period of 12 months.

SurfAid Program Support Office

The SurfAid PSO will be the central location of planning and program support. It will have the responsibility for managing resources across projects, maintaining planning and reporting standards and maintaining an overview of how each program is
tracking. The PSO will provide continuous and effective support for the
programs across SurfAid International through the examination of project status information and the provision of project help as needed. The key roles of the PSO are:

1.Provision of assistance in program initiation and planning

2.Implementation of a single program management framework

3.Standardization and maintenance of program management methodologies and techniques

4.Risk assessment and contingency planning (identify, categorise, analyse)

5.Support to program management teams

6.Capturing effective program monitoring and evaluation information

7.Capturing and analysing historical data

8.Collecting information to develop structured reports for donors in standardised formats


PSO Manager

The PSO Manager is a senior person in SurfAid International. He/she will work closely with the Program Director. The role is to take a lead in changing the culture of inconsistent planning techniques to a cohesive way to manage programs, through the provision of:

·Assistance in developing, socialising and training others in a standardised project
management methodology

·Support and coaching in project management to Program Managers

·A single overview of all program activity for SurfAid International

·Effective management of the Program Support Office and proactive guidance to managing programmes in an effective and timely manner



In addition to the provision of these services, the PSO Manager will also:

· Work with Program Managers and proactively seek the information required for the many and varied reports to stakeholders

· Take a lead in developing the reports required by stakeholders and ensure reports are completed in a timely manner

· Work with the finance and program staff to assist in developing operational budgets, ensuring compliance with donor regulations and SurfAid policies

· Take the lead on ensuring that program implementation is delivered according to best practice by benchmarking against other organisations.

The outcomes of the PSO and PSO Manager will be:

A single overview of all programs, resources, finances, reportsOne effective method of managing programs throughout SurfAidProactive sourcing of information to develop necessary reports and ensure production of reports in a timely mannerCollation of relevant information as input into proposal writing

The successful candidate should have the key experience, knowledge, skills and attributes required are as follows:

Ø Have at least 5 years experience in managing projects and staff in developing
countries, two of which should be on Emergency Recovery Projects;

Ø Extensive program management experiences;

Ø Development air sector experience;

Ø Management experience;

Ø Have a thorough understanding of project management methodologies and reporting frameworks;

Ø Understanding of donor relationship;

Ø Planning and organising;

Ø Good analytical skills;

Ø Good facilitation skills;

Ø Strong communication skills;

Field Coordinator - Mentawai based

Field Coordinator – Emergency Preparedness Program

Community Based Health, Emergency Preparation, Environmental Health (Water and
Sanitation) and Malaria prevention.

We are now seeking for Field Coordinator for the Emergency Preparedness Program to be based in Sikakap, Mentawai. The Field Coordinator will report and
provide information directly to the E-Prep Program Manager. This position is
intended for Indonesian national only.

The tasks expected of the E-prep Field Coordinator include:

To provide management and support to SurfAid International community facilitation training teams based at the sub-district level.Plan field training and workshop
schedules at the field level and ensure that training and workshops are conducted within established deadlines.Provide training, mentoring and support for the SurfAid training teams in the field.Prepare monthly work plans, budget forecast, activity reporting matrixes and other regular field reporting in line with SurfAid International reporting requirements. Assist in the training and capacity building of SurfAid program staff, primarily SCFs and CFs.In charge for the relationship building to the main governmental stakeholders including district and sub-district government authorities such as BPBD, Bappeda, Departments of Health and Education, Bupati’s office and other identified stakeholders at the field level. Conduct regular monitoring and evaluation of field activities and visit field sites and ensure that staff are conducting monitoring and filling in activity completion reports.Assist with, manage and implement all activities as identified by the E-Prep Program Manager specially to make every effort to ensure the objectives/outputs are achieved to a high standard of quality according to the log-frame and budget within the duration of project period. Liaise with other INGOs, NGOs, agencies or organizations also involved in disaster risk reduction activities and where possible form strategic alliances.Assist in the design and implementation of stakeholder workshops at the district, and villages level as well as the elementary school training, and assist in the identification and
design of specialist training for village based disaster management teams.Any other tasks identified by the E-Prep Program Manager

Qualifications:

University degree in relevant discipline·
At least 3 years experience in field management and program implementation.
At least 1 years experience in disaster management and disaster response.
Strong analytical and conceptual skills.
Experience in organizing and facilitating workshops.
Excellent skills in facilitating community Focus Group Discussions and community meetings.
Familiarity with monitoring and evaluation tools and methodologies.
Ability to communicate with a wide range of stakeholders, including government officials, community members and children.
Excellent interpersonal and communication skills and a commitment to working in a multidisciplinary and multicultural environment.
Excellent computing skills, including knowledge of word-processing and spreadsheet applications.
Experience in administering budgets for a project duration period.
High personal standards, political and religious sensitivity and possess the qualities of patience, tact and diplomacy.
Ability to work independently and with limited supervision when necessary.
Excellent report writing skills both in Bahasa Indonesia and English.
Well developed written and oral communication to communicate clearly and sensitively with internal and external stakeholders to SurfAid International including skill in facilitation and negotiation.
Experience working with international NGOs and an understanding of the culture of
international organizations.

Desirable:
Experience with community-based media and information campaigns.
Experience working in isolated regions and/or understanding of the socio-cultural background of Western islands of Sumatera.
